Trying to keep track of Google form submissions can be overwhelming. I’ve been there, and I know how inconvenient it is to be disrupted all the time...
Perhaps you’re using forms to gather survey responses, input from your team, or feedback from your customers.
But what if there’s a way to automate these tasks?
Zapier once again saves the day. This productivity tool helps you connect your favorite apps and streamline your workflow. You don’t even need to have technical skills to set it up. Trust me, it’s simpler than you think!
Over the next few minutes, I’ll be showing you how to automatically send Google Form submissions to Slack via Zapier.
Why Use Zapier in Sending Google Forms to Slack?
Zapier is a powerful platform that allows you to automate repetitive tasks. And for me, it’s a real time-saver. When you connect Google Forms to Slack via Zapier, you no longer need to manually keep track of your team’s input or responses. You get instant notifications right on your app. It helps you stay in the loop while focusing on other stuff.
What You’ll Need
Before we get started, make sure you already have:
- An active Google form. There are many pre-built templates you can use. Simply choose one and customize it to your needs. You can also make your own from scratch. Check out this tutorial if you don’t know how to create a Google form.
- A Slack workspace. Make sure you have the permission to install apps.
- A Zapier account. If you don’t have one. I suggest trying out their free version.
Steps to Connect Google Form Submissions to Slack via Zapier
Step 1: Create A Zap
First, log into your Zapier account. On your dashboard, click the ‘Create Zap’ button.
Step 2: Choose Google Forms As Your Trigger
A trigger is an event in your app that creates a ‘Zap.’ In our example, the trigger is the Google Form submission.
So, on the pop-up window, search for ‘Google Forms’ and select it.
Under the App & event section, choose an event. There are many possible events to choose from. Since we want to receive notifications on Slack every time a new form is submitted, we chose ‘New Form Response’ as our event.
When everything is set, click ‘ Continue.’
Step 3: Connect Zapier to Your Google Account
After choosing your trigger, you need to allow Zapier to access your Gmail account. Don’t worry, Zapier uses robust security measures to keep your personal data safe. This includes advanced encryption algorithms and secure HTTPS connections.
Under the ‘Account’ section, click ‘Sign In.’
Enter your Google account credentials to give Zapier the necessary permissions.
Step 4: Choose A Google Form
Next, select the Google Form you want to send to Slack. Under ‘Trigger,’ click ‘Form’ to load all the forms you’ve saved in your Google account.
In this example, I’ve created an RSVP event form and used it as my trigger.
After choosing a form, click ‘Continue.’
Step 5: Test Your Trigger
Before you proceed, it’s important to test your trigger to ensure that you’re capturing the correct data or events. It also helps you verify that the connection between your Zapier and Google account is working as expected.
Simply click the ‘Test trigger’ button.
You should see a sample output, as shown below. Once you’re satisfied, click ‘Continue with selected record.’
Step 6: Choose Slack to Create An Action Event
An action event happens after a triggered event. In our example, this event is the notification we receive on Slack. So, go ahead and choose Slack to create an action event.
Under the ‘App & event’ section, you’ll be given options as to what type of event you want Zap to perform. Here, let’s choose ‘Send Channel Message’ as our event.
Once you’re done, click ‘Continue.’
Step 7: Connect Zapier to Your Slack Account
Just like what you did with your Google account, you want to make sure that your Slack account is integrated into the Zapier app.
Simply log into your Slack and authorize Zapier to access it.
Then, click ‘Continue.’
Step 8: Choose Your Slack Channel
The next step is to choose a Slack channel in your workspace where you want the notifications to appear. You can even choose a direct message if you prefer.
In this example, I chose the #tutorial-articles channel in my Slack account.
Step 9: Customize the Message You Want to Send
Once you’ve chosen a Slack channel, you need to add a message that goes with your form response. You can type your message and let your creativity shine. Or choose a pre-built template under the ‘Insert Data’ section. You can also do both, as I did below.
Note that there’s also an option to set your bot name and bot icon. This allows you to personalize your automated actions or present an identity to your customers. While this is completely optional, I highly recommend you do this.
Once you’re done, click ‘Continue.’
Step 10: Test Your Zap Action
Before you make everything live, make sure to test your Zap action. Zapier provides a built-in test function to help you simulate a trigger and action event. All you need to do is click the ‘Test action’ button.
You should be able to receive a sample response on your Slack account. Tweak and make adjustments to the settings as you please.
Step 11: Publish Your Zap
Once you’re satisfied with the trigger and action events, it’s time to make it live. Click the ‘Publish’ button. And you’re done!
Just like that, you’ve managed to automate a simple task. From now on, you will receive a custom message every time a Google form is submitted.
Wrapping It Up
And there you have it!
You’ve just learned how to integrate Google Form submissions to your Slack account using Zapier. You no longer need to waste time checking on updates. This has personally saved me hours throughout the years, especially if Slack is an integral part of your workflow. Zapier will do its thing while you focus literally anything else!
Of course, there are many other cool automations you can do with Zapier. For instance, you can try sending your notes from Notion to other apps like Slack, Trello, or Gmail. Zapier supports thousands of other apps. So, feel free to experiment with other simple tasks you can automate. The sky's the limit to what you can do with Zapier.
