Apollo is the tool people assume we already use. Whenever cold email tooling comes up, someone eventually asks "can't I just do everything in one platform?" – & Apollo is the platform they mean. Apollo started as a contact database & has spent the last few years bolting on sequences, a dialer, & light CRM features until it became a genuine all-in-one sales platform. Instantly went the opposite direction & stayed a sending specialist. Neither approach is wrong – they're built to solve different problems, & a lot of the "which is better" debate misses that they're not really fighting for the same dollar.
Here's the TLDR: if your bottleneck is sending volume – you've got a list (or a way to build one) & need to scale mailboxes without your bill scaling with headcount – Instantly is the better fit & costs a fraction as much to run at scale. If your bottleneck is finding who to email in the first place, & you want a database, a dialer, & basic pipeline tracking in one tab, Apollo earns its per-seat price. A lot of teams actually run both – Apollo for data, Instantly for sending – & that combo covers most of what either tool is weak at on its own. We'll walk through why below.
What Each Tool Actually Is
Apollo puts their contact database at 275M+ contacts these days (that headline number has moved around release to release – their own product pages have cited figures anywhere from roughly 210M to 275M+ – so treat it as "north of 200 million" rather than gospel). On top of the database, you get email sequences, a built-in dialer, basic deal & pipeline tracking, & a Chrome extension that pulls contact info straight off LinkedIn. It's a real all-in-one sales tool, not just a sender – which is why it's priced per seat, the way most sales platforms are. Instantly is narrower on purpose. Founded in 2021 in Tallinn, Estonia by Reio Suun & Nils Schneider (who famously built the whole thing in public on Twitter), it does one thing – sending & warming up cold email at volume – & does it well. No dialer, no CRM, no database bundled in by default (they sell a lead database add-on now, but it's not the core product). Pricing - The Real Difference
This is where the two tools stop being comparable in any normal sense, because they're not pricing the same thing. Apollo charges per seat. As of this writing, third-party pricing trackers that monitor Apollo's page consistently report tiers running: Free ($0, capped around 250 emails/day & 2 sequences), Basic (roughly $49/user/month annually), Professional (roughly $79/user/month annually), & Organization (roughly $119/user/month annually, 3-seat minimum – so the real entry cost lands closer to $350+/month). Month-to-month billing runs noticeably higher on every tier. On top of the seat price, Apollo also runs a credit system – 1 credit to reveal an email, several for a mobile number, another to export a contact to your CRM – & credits expire each billing cycle without rolling over, so a slow month still costs the full allocation.
Instantly prices around sending volume, not seats. Growth runs $47/month for 1,000 uploaded contacts & 5,000 emails/month. Hypergrowth is $97/month for 25,000 contacts & 125,000 emails/month. Light Speed is $358/month for 500k+ emails with their private deliverability network. Annual billing knocks about 20% off (Growth drops to $37.60/month). The number that actually matters, though: every plan – including the cheapest one – includes unlimited email accounts & unlimited warmup. You're not paying more to add your 15th domain. Where Apollo Wins
Credit where it's due – Apollo's real advantage is that you don't need a separate data provider. If you're building a list from scratch, filtering by title, industry, tech stack, & company size, then pulling verified emails right in the same tab – that saves you a tool & a subscription. Instantly doesn't do this natively at the same depth – their lead database add-on is newer & smaller than what Apollo's built over years. If your team also does outbound calling, Apollo's dialer means you're not stitching together three platforms to run one motion. & on a genuinely small team – two or three seats – where per-user pricing doesn't add up to much, Apollo's all-in-one approach can be more efficient than paying for Instantly plus a separate data tool plus a separate CRM.
Where Instantly Wins
The structural difference is the whole game. Reports on Apollo's current limits consistently describe mailbox sending caps around 50 emails per mailbox per day (roughly 100/domain including warmup), plus per-seat mailbox connection limits that scale with your plan tier – sane for deliverability, but it means growing your sending volume usually means buying more seats, not just plugging in more inboxes. Instantly flips that: every plan, even the $47/month one, comes with unlimited mailboxes & unlimited warmup. Scaling is "connect another domain," not "add another seat." Of course this is based on your copy & email lists, but the power to send across multiple domains is what let us 5-10x our sending volume without our monthly cost moving in lockstep. Which One Is Right For You?
Pick Instantly if you already have a list – or a clear way to build one – & your bottleneck is sending volume: you're an agency running client campaigns, managing multiple domains, or you just need more mailboxes than you have seats to justify. Instantly is where we landed after evaluating a handful of options, & four years & several renewals later, we haven't looked back.
Pick Apollo if your bottleneck is finding people to email in the first place, especially if you're a lean team that also wants a dialer & light pipeline tracking in the same subscription. It's a genuinely reasonable starting point for a small team that hasn't built its own data stack yet.
And if you're doing real volume with a real list-building need, don't feel like you have to pick one – plenty of teams run Apollo for data & Instantly for sending, splitting the job between whichever tool's best at each half.
