How to Book 10+ Meetings a Week With Cold Email Using Instantly
Most cold email advice tells you to "test and iterate" without showing you the math. This guide skips the hand-waving and walks through the exact infrastructure, lead list, and 3-step sequence that consistently produces 10-plus meetings a week. Set it up once, run it on repeat.

Booking 10 meetings a week with cold email is more realistic than it sounds.
We know because we've been doing it ourselves using Instantly for over 2.5 years.
The system isn't complicated.
It comes down to three things: the right infrastructure, the right lead list, and a short email sequence that gets out of its own way.

This guide walks you through the exact workflow, step by step, so you can set it up and run it yourself.
What You Actually Need to Hit 10+ Meetings a Week
Before getting into setup, here's the math so you know what you're working toward.
At 1,000 emails a day (about 30,000 a month), a realistic outcome looks like this:
- 50% open rate = 15,000 opens
- 5% reply rate = 750 replies
- 15% positive replies = 112 interested prospects
- 75% show-up rate = 84 live meetings
That's well above 10 a week. Even if you're running a smaller volume, say 8,000 to 10,000 emails a month, a 5% reply rate and 15% positive reply rate still gets you 60 to 75 replies.
Convert 20 to 25% of those to booked calls and you're at 10 to 12 meetings a week consistently.

Step 1: Set Up Your Domains and Mailboxes

- Export your list
- If you're bringing in an external list, go to Add Leads inside any campaign and import via CSV.

- Move verified leads directly into a new or existing campaign
- For leads you're not ready to contact yet, store them in the Instantly CRM and use labels to track interest level and segment by niche
Aim for 5,000 to 10,000 leads per niche per campaign. At a 5% reply rate that's 250 to 500 replies per niche. That's where the meeting volume comes from.
Step 3: Write the 3-Step Sequence
Keep it short. Most cold email sequences fail because they're too long and too focused on the sender. Three emails is all you need.

Email 1: The opener
40 to 60 words. One pain point. One question. Nothing else.
End with a direct CTA: "Would it make sense to jump on a 15-minute call this week?" or "If that's relevant, I can send over a calendar link."
Email 2: The bump
Send 1 to 3 days after email 1. One short nudge plus one line of added value, a result you got for a similar company, a relevant stat, or a case study snippet. Under 50 words total.
Email 3: The soft close
"If the timing isn't right, I'll stop reaching out and we can revisit down the road." That's it. It removes pressure and reliably triggers replies from people who were on the fence.
